Everything you need to know about applying for dormitory space – academic year 2024/2025
- Each doctoral student of the University of Warsaw
In addition, a doctoral student may apply for accommodation for his/her children and spouse, partner.
Due to the specific requirements resulting from the state of health, it is possible to obtain a place in the student dormitory adapted to the needs of people with disabilities. It is also possible to apply for a place from the pool of The Office for Persons with Disabilities – bon.uw.edu.en.
The exact deadlines for applying for places in student residences may change a little each year, but be sure to keep in mind:
- if you are already studying at UW and plan to apply for a DS place for the next academic year – to keep track of the information and deadlines during the summer vacation, so as not to miss the application deadline for current students;
- if you are just starting your studies at UW and plan to apply for a place in DS, that the round dedicated to you starts around mid-August, that is, after the recruitment procedures have been completed.

For a place in a dormitory, you can also apply for a place during the academic year – then you should contact us at bpm@uw.edu.pl, then there is no need to fill out an application – we indicate the available places and the possible date of accommodation.
Do I have to submit documents in person?
No, the application is submitted in the form of an electronic document via USOSweb – the application submitted in this form is authenticated in a way that ensures the ability to confirm the origin and integrity of the data in electronic form.
I got into UW, but I still don’t have access to USOSweb, what to do?
Please contact the unit where you submitted your documents when you were recruited to the university to request to be added to the USOSweb system.
Do foreigners have to fill out an income statement when applying for a place in a Student House?
No, foreigners do not need to fill out an income statement when applying for a place in the Student House.
Can a student from a foreign university participate in the recruitment process for the University of Warsaw‘s Dormitories?
It is not possible for people from outside the University of Warsaw to apply for a place in the Student Dormitories.
I am a student – I currently live in a dormitory, do I have to apply for a dormitory for the following year?
Yes, if you want to live in a dorm for the next academic year.
I am finishing my bachelor’s degree at the UW this year and want to study for a second degree at the UW starting in October, in which round should I apply?
You can apply as early as Round I, for current students – it is important that this happens before your defense, that is, before you, temporarily, lose your student privileges in USOS. There are also no obstacles to applying in rounds II and III. However, we encourage you to apply as soon as you can.
I am finishing my bachelor’s degree at the UW this year and want to study for a second degree at the UW starting in October, in which round should I apply?
You can apply as early as Round I, for current students – it is important that this happens before your defense, that is, before you, temporarily, lose your student privileges in USOS. There are also no obstacles to applying in rounds II and III. However, we encourage you to apply as soon as you can.
I am leaving for Erasmus in the winter semester, I will want to live in a dormitory when I return (from the summer semester ). Should I apply for a place?
No, in this case, please contact us by email in December to reserve a place from the summer semester.
Do you choose the type of room (e.g., single) you are applying for in the application?
No, at the application stage you only indicate your preference of dormitories – i.e. the order, from the one in which I would like to live most to the least desirable. The room will be assigned by the Administration of the dormitory, on the day of your arrival.
Note that most rooms are double rooms.
Can I apply for a place from the BON pool and the general pool at the same time?
Unfortunately not, please choose one pool. If you do not get a place from the BON pool, you will be able to apply for a place from the general pool.
How can I find out at what stage my application is?
The current status of the application appears all the time in USOSweb, when its status changes – USOSweb will inform you by email, also when the application is already processed
I received a place in the Student House, can I swap a place with another applicant?
Yes, the swap can be made in the exchange in USOSweb by the specified deadline available at bpm.uw.edu.pl/en
When can I be accommodated in the student house?
Those who receive a place in the student house will be able to be accommodated by the specified deadline available at bpm.uw.edu.pl/en
How should I get accommodated?
- On the specified date, you should go to the appropriate student house.
- On the spot, fill out a personal form, attaching two photos, and confirm in writing that you have read the Regulations of the UW Student Houses.
- Pay a deposit in the appropriate amount (in cash).
- The manager or employee of the student house indicates the appropriate room. Roommate preferences are met, if possible.
What if I do not get accommodated on the indicated date?
Failure to accommodate by the specified date means forfeiture of your place in the dormitory. Upon a reasoned request (submitted in person or electronically), the DS Manager may agree to extend the period for accommodation.
What if I did not catch any of the rounds?
In that case, there will be an opportunity to use the reserve list, in early October.
Can I also live in the dormitory during the vacations?
Yes, you must submit an application to the manager of your student house. The dormitory administration staff will provide detailed information.
I am a person from outside the UW – can I use the dormitory during the vacation period?
Yes, there is such a possibility, on a hotel service basis. In this matter, you should contact the administration of the student house in question.
Can I extend the period of residence in a student house?
Matters related to the extension of accommodation for UW students are considered on an individual basis.
Can I live in the student house with my spouse or child?
Yes, this is possible in particularly justified cases, as long as the spouse/child is accommodated in the student house with the applicant. This possibility is in DS Number. 1, 2, 3 and 4.
Will there be token registration for dormitories?
No, but at the beginning of October there will be a chance to get a place on the waiting list – then you will no longer need to apply in USOSweb.
Why do I not see the justification in the preview of the dormitory application?
The justification is visible only to the committee.
For the 2024/2025 academic year:
Certificates for visas will only be issued on Fridays. The request for a certificate must be submitted no later than Thursday by noon. Informing our office of the need for a certificate after 12:00 on Thursday means that the certificate will be issued the following Friday.
Certificates will be sent by e-mail in Polish and English versions. The certificates are electronically signed with a qualified signature.
We would also like to remind you that we will be able to issue a detailed certificate (with information about the allocation of a place in a specific dormitory along with its price) only after you receive a place in a specific dormitory and payment of the reservation fee. Otherwise, it is only possible to issue a certificate with a note about the opportunity to receive a place in one of the University of Warsaw dormitories.

Please write “Certificate for visa” in the title of the message. Please include your index (album) number in the body of the email or your admission decision at the University of Warsaw.
Note! If you are already living in a dormitory and would like to obtain a certificate of residence, please contact the administration of your dormitory.
House of the Research Employee (DPN)
The DPN is intended for the temporary accommodation of scientific and didactic, didactic and scientific staff as well as full-time doctoral students of the University who reside permanently at a distance that makes daily commuting impossible. Accommodation is provided for the period of work or study at the University of Warsaw and takes into account the staffing needs of the University and the family and housing situation of the applicant.
A place in the DPN is granted by the UW Vice-Chancellor for Co-operation and Staff Affairs at the request of the Accommodation Committee appointed by them.
The Committee applies for the granting of a place based on an application endorsed by the organisational unit of the University of Warsaw in which the applicant is employed.

What do I need to do if I want to extend my DPN accommodation if my contract or study or doctoral study time is shorter than the accommodation for the academic year?
If you do not have up-to-date data in USOS or SAP, you should contact your department/doctoral school/unit to enclose with your application a certificate that you plan to extend your contract, study or doctoral training year for accommodation in the DPN. The DPN Accommodation Committee will only consider complete documents. Applications without certificates will be sent back for completion.
How do I submit applications for new accommodation or for an extension?
The application with complete documentation can be forwarded to the Social Affairs Office:
- via the department, doctoral school or organisational unit;
- directly by the applicant, by email to: komisja.dpn@uw.edu.pl;
- through the UW Registry Office, Auditorium Maximum UW, 26/28 Krakowskie Przedmieście Street, 00-927 Warsaw;
- in person to the Secretariat of the Office of Social Affairs.
What should I do if I have not yet been given a UW e-mail address?
According to UW Rector’s Order No. 279 of 10.12.2020 on electronic mail § 3(3), “correspondence of an employee, student or doctoral student of the University sent from an electronic address other than University electronic mail shall be left unacknowledged”. In this situation, the request must be delivered in person or sent by the organisational unit.
